The Associate Administrative Assistant will support the management team with day-to-day administrative duties.  This role will aid in the effective facilitation of the office operations by leveraging administrative systems, procedures, policies, and monitoring administrative projects.

Responsibilities

  • Provide direct office support for Operations, Sales and Recruiting managers.
  • Manage and run a variety of reports from internal systems to support daily sales & recruiting needs as well as monthly reports and quarterly reviews.
  • Greet visitors to the office and sign for deliveries.
  • Assist with daily administrative tasks such as printing, scanning, photocopying, answering phones, delivering office mail, distributing e-faxes, and any other administrative duties.
  • Responsible for collecting, scanning, and sending new hire HR paperwork to the corporate HR office. Along with running employee's information through E-verify.
  • Updating and maintaining seating charts and office spreadsheets.
  • Format provider CV's for recruiting sales staff.
  • Run daily phone time reports.
  • Maintain the organization and cleanliness of all conference rooms and office area.
  • Coordinate, plan, and execute office activities/events such as potlucks and the annual holiday party in December.
  • Maintain inventory of office supplies and order supplies as needed.
  • Perform other administrative duties that may be assigned.

  • Adaptability and flexibility to support the organization’s growth
  • Proficient knowledge of Microsoft Office Suite
  • 6 months - 2 years of work experience
  • Ability to multi-task in a high-stress environment
